How to get paid faster - invoices, MoMo and reminders that don't feel awkward

"I'll pay you Friday" is not a payment plan. Practical ways small businesses in Ghana get paid on time without chasing or losing customers.

Ngozi bakes cakes for birthdays and office events. Her customers love her - and about a third of them pay late. Some forget, some are waiting for salary, a few disappear. She doesn't want to sound desperate, so she waits. Meanwhile she's paying for flour, eggs and delivery out of her own pocket.

If that sounds familiar, the good news is that most late payment isn't bad intent. It's friction. Make paying you easier than not paying you, and the problem shrinks.

1. Invoice the same day you deliver

The longer you wait, the less urgent it feels to your customer. Send the invoice the moment the job is done - from your phone, on WhatsApp if that's how you talk to them. A clear invoice says: this is a business, and this is what's owed.

A good invoice has:

  • your business name and contact details
  • what you delivered, with quantities and prices
  • the total and the due date ("Due 7 November", not "Due on receipt")
  • how to pay

2. Put a pay link on it

Every extra step loses you money. If the customer has to find your MoMo number, check the name, and type the amount, they'll do it "later". A pay link lets them tap and pay by mobile money or card in seconds - and you see it the moment it arrives.

3. Ask for a deposit on big orders

For anything custom - a wedding cake, a set of uniforms, a building job - ask for 30-50% upfront. It covers your materials and filters out customers who aren't serious. Send a separate invoice for the deposit so both of you have a record.

4. Remind once, kindly, on the due date

Most people pay after one polite reminder. Keep it short and friendly:

Hi Ama, a quick reminder that invoice INV-0048 for GHS 900 is due today. You can pay by MoMo or card here: [link]. Thank you!

If it's still unpaid a week later, remind again. After that, call. Never make it personal and never shame anyone in public.

5. Know who owes you - every week

Pick a day (Monday works) and look at everything unpaid. Who owes you, how much, and how late? Five minutes a week stops small debts from becoming big ones.
